How to Follow Up With Foreign Buyers After the First Contact

Most export orders are won in the follow-up, not the first reply. Buyers are busy, compare several suppliers and often need internal approval. A steady, helpful follow-up keeps you in front of them without being pushy.

Quick answer

Reply to every enquiry within a day, then follow up after three to five days, again after about two weeks, and once more before your quotation expires. Each message should add something useful: an answer, a sample offer, a video call, a revised price for a different quantity, or certification details. Keep a simple record of every buyer, quotation and next step so nobody is forgotten.

A simple follow-up schedule

WhenWhat to send
Day 0Complete reply with quotation, specification and photos
Day 3 to 5Short check: any questions, offer a sample or a video call
Day 10 to 14Something new: certification, a price for another quantity, a lead time update
Before validity endsReminder that the price is valid until a date, with an offer to extend
MonthlyLight update for buyers who went quiet: new products, new season, stock news

What makes a good follow-up message

  • Keep it short and refer to the buyer's exact requirement
  • Ask one clear question, such as "Would a sample help you decide?"
  • Answer any objection with facts: test reports, photos, references
  • Write in simple, clear English, and avoid long attachments in a first message

Email, WhatsApp and video calls

Use email for quotations and formal documents, because buyers forward them for approval. Use WhatsApp for quick questions and updates once the buyer is comfortable with it. Offer a video call to show your factory, stock or packing line, because it builds trust faster than any message. Respect time zones: send messages in the buyer's working hours.

Keep track of every buyer

A spreadsheet is enough to start: buyer name, country, product, date of quotation, value, status and next follow-up date. Review it every morning. Many exporters lose orders simply because they forgot to reply.

Frequently asked questions

How many times should I follow up with a buyer?

Three or four follow-ups over a few weeks is reasonable, as long as each message adds something useful. After that, move the buyer to a light monthly update.

Is WhatsApp acceptable for export buyers?

Many buyers use it for quick communication. Keep quotations, contracts and documents on email so there is a formal record.

What if the buyer does not reply at all?

Send a short final message saying you will keep the offer open, then add the buyer to your monthly update list. Buyers often come back months later.
